Invoicing for Mental Health Clinicians

Therapists or prescribers can submit invoices to be processed for payroll.

Supervisors and quality assurance staff can review/verify submitted invoices and return them to their submitters for correction.

Payroll staff can process verified invoices and attach individual invoices to a specific pay period, so invoice submitters know when a particular invoice will be paid.

As invoices go through the processing workflow, submitters receive email notifications which include pdf copies of their invoices.


Patient Data Diagnosis, Insurance & Program Enrollment

An authorized user can add or update patient data and enrollment in the following programs:

  • Outpatient Mental Health Clinic (OMHC)
  • Psychiatric Rehabilitation Program (PRP)
  • Case Management (CM)

Staff Info & Licensing, Caseload Management

An authorized user can manage staff information, assign roles and patients to staff, as well as store staff licensure information.

Staff can view a list of patients assigned to them based on staff roles within specific programs.


Claims File (Electronic Data Interchange) Generation

An authorized user can generate and download Electronic Data Interchange (EDI) 837 file from invoice line items submitted by clinicians.

The generated EDI file can be submitted to payers/insurance companies for processing. EDI claim file that has been submitted to payers/insurance companies can be marked as final.

Failing claim line items that need to be re-included in an 837 file can be placed in text file and uploaded into mallow, so that those items can be re-included in a newly generated 837 file.

Mallow is a web-based mental health software that helps manage a clinic’s health data and complete daily tasks.

Mallow is easy-to-use, affordable, lightweight, configurable and tailored to small to mid-sized mental health clinics in Maryland unlike other Electronic Health Record (EHR) software which are difficult to learn, expensive, and bloated with one-size-fits-all features.

We hope to drive innovation by collaborating with other technologists to extend, refine, and contribute to Mallow’s features.

Owners of some small and mid-sized clinics in Maryland say that the cost of EHRs & Practice Management tools is a burden. Coupled with frustration experienced with the EHR vendor technical support, some of these clinics reverted to spreadsheets for keeping client data.

The administrator has access to all available functionality. To login as an administrator, use the following username/password:

The Front Office staff can add/update client info (including demographics, insurance, diagnosis, program enrollment). To login as Front Office staff, use the following username/password:

User Type: QA – Quality Assurance Specialist

The QA specialist completes a quality assurance review of invoices submitted by direct care staff.

In addition, a QA specialist can add/update client info (including demographics, insurance, diagnosis, program enrollment).

User Type: Payroll Specialist

The Payroll Specialist processes an invoice and attaches an invoice to a particular pay schedule. To login as a Payroll Specialist, use the following username/password:

There are several therapist demo accounts available. The usernames/passwords are:

There are 2 prescribers available.  The usernames/passwords are:

Other Notes 

The demo accounts listed above cannot be updated/modified. You can certainly create new users within the demo environment that you can modify/update as you see fit. To do this, login with the Administrator credential listed above.

There is currently no user interface for adding licensure information for a user, this feature will be available in a future release.
